Why Business Emails Land in Spam (And How SPF, DKIM & DMARC Help)

A practical guide to configuring your domain's DNS records so your client proposals and invoices are properly authenticated.

Few things frustrate a founder or business team more than preparing a client proposal only to find out days later that it was swallowed by the recipient's spam filter. Major email providers like Google and Yahoo require strict authentication for custom domain senders. ### The Three Pillars of Email Authentication 1. **SPF (Sender Policy Framework)**: A TXT record in your DNS that lists the exact IP addresses and servers authorized to send mail on behalf of your domain name. `v=spf1 include:_spf.google.com ~all` 2. **DKIM (DomainKeys Identified Mail)**: A cryptographic signature attached to the header of outgoing emails. The recipient mail server checks the public key published in your DNS to verify the message was not modified in transit. 3. **DMARC (Domain-based Message Authentication, Reporting, and Conformance)**: The policy directive that tells receiving servers what to do if an incoming email fails SPF or DKIM checks. `v=DMARC1; p=quarantine; rua=mailto:dmarc-reports@yourdomain.com` ### Realistic Expectations Configuring these records correctly verifies domain authenticity and significantly reduces the likelihood of being marked as spoofed mail. However, actual inbox placement also depends on message content, recipient spam filter heuristics, and overall domain sending reputation over time.
